Job Description for Sales Administrator

A Sales administrator has the responsibility of providing support to the Sales Representatives. Overseeing sales, promotions and orders. As a Sales administrator your main responsibility is to:

  • Receive and process sale orders online, or via phone and email.
  • Check accuracy of orders and issuing invoices
  • Maintaining sales record and compiling monthly reports
  • Customer Relationship Management – manage expectations and oversee that a client’s needs are met in a timely fashion

Main Duties / Key Accountabilities:

  • Correctly process all customer quotations, Sales Orders, Invoices and credit notes
  • Turnaround time for customer queries of 4 hours
  • Stay up to date with Stock schedule to assist customers and offer alternative options if stocks are low
  • Up sell and cross sell flooring accessories and consumables
  • Communicate effectively with Warehouse, Sales and Sales admin team
  • Ensure customers do not go over their credit limit
  • Ensure that cash customers have paid for stock before it is released
  • Check and ensure that sold stock in warehouse is correct at all times
  • Provide prompt and timeous response to Debtors department queries
  • Responsible for individual sales targets – sales order and billing
  • Handling and resolving customer complaints regarding a product or service
  • Ensuring the correct discount rates are applied
  • Ensure transport is correctly organized as per customer requirements and that it is correctly charged for where applicable
  • Advising distributors and dealers on policies and Standard Operating Procedures.
  • Ensure that system is always correct as per customer database
  • Articulating and selling of defined solution/product sets to new customers.
  • Ownership and resolution of sales related issues
  • Act as the single point of contact for customers internally and externally.
  • Remain up-to-date with product knowledge and trends in Flooring industry and general business.

Knowledge, Skills, and Experience:

  • Matriculation
  • Minimum 3-5 years Sales administration experience
  • Flooring industry
  • Leadership skills
  • Exceptional interpersonal and customer service skills
  • Advanced knowledge of administrative and record keeping
  • Energetic, enthusiastic, motivated self-starter
  • Target driven
  • Proficiency with word processing and excel
  • Excellent communication skills (verbal and written)
  • Team player
